How Australian Identity Solutions collects, uses, stores and protects your personal information.

Last updated: 1 March 2026

1. About this policy

Australian Identity Solutions Pty Ltd ("AIS", "we", "us", "our") is committed to protecting the privacy of personal information we collect and handle. This Privacy Policy sets out how we collect, use, store and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What personal information we collect

We collect the following types of personal information:

  • Identity information: name, date of birth, address
  • Identity document details: document type, number, issuing authority (verified via DVS — we do not store document images)
  • Biometric information: facial geometry for face match verification (not stored after verification)
  • Contact details: email address, phone number
  • Business information: business name, industry, ABN
  • Verification results: pass/fail outcome, confidence scores, timestamps

3. How we collect personal information

We collect personal information directly from individuals during the identity verification process, from our business customers who submit verification requests, and from government databases (DVS) during document verification checks.

4. Why we collect personal information

We collect and use personal information for the following purposes:

  • To verify the identity of individuals as requested by our business customers
  • To comply with AML/CTF Act requirements including record-keeping obligations
  • To generate audit reports and compliance documentation
  • To maintain and improve our verification services
  • To communicate with our business customers about their accounts

5. Data storage and security

All Australian personal information is processed and stored in Australian data centres. We use industry-standard security measures including TLS 1.3 encryption in transit, AES-256 encryption at rest, role-based access controls, and multi-factor authentication. Our infrastructure is ISO 27001, ISO 27017 and ISO 27018 certified.

6. Document handling

We do not store copies of identity documents. When a document is submitted for verification, it is scanned, verified against the relevant government database, and the image is immediately deleted. Only the verification result and extracted data points are retained.

7. Data retention

Verification records and audit trails are stored for 7 years to meet AUSTRAC record-keeping requirements under the AML/CTF Act 2006. After 7 years, records are automatically and securely deleted.

8. Disclosure of personal information

We may disclose personal information to: the business customer who requested the verification; government agencies as required by law (including AUSTRAC); our technology partners who assist in providing our services (under strict contractual obligations). We do not sell personal information to third parties.

9. Overseas disclosure

We do not transfer Australian personal information overseas unless required to verify international identity documents, and then only with appropriate safeguards in place as required by APP 8.

10. Access and correction

You have the right to request access to personal information we hold about you and to request correction of any inaccurate information. Contact us at hello@australianidentitysolutions.com.au to make a request.

11. Data breaches

We have documented security incident response procedures compliant with the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988. In the event of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) within 72 hours.

12. Complaints

If you have a complaint about how we handle your personal information, please contact us at hello@australianidentitysolutions.com.au. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
